    The Senior Administrative Assistant provides high-level administrative support to the Program Director/Senior Vice President ranging from routine office tasks to special, project-related assignments. Based in our headquarters in midtown Manhattan, the Senior Administrative Assistant maintains, organizes and coordinates all of the responsibilities, correspondence and appointments of the Program Director/Senior Vice President.

    Responsibilities

    • Perform standard administrative tasks, including telephone calls and messages, mail, visitors, on –site meeting preparation, and acting as a liaison with staff and external contacts.
    • Assist Program Manager/Senior Vice President by maintaining calendar, scheduling appointments, and advising of upcoming appointments.
    • Make arrangements for Program Manager/Senior Vice President’s attendance at meetings and conferences.
    • Create slide presentations, and other informative materials and reports, for meetings and Board presentation.
    • Draft correspondence and other documents, including proofreading and copyediting.
    • Conduct internet research.
    • Establish system of electronic and paper record keeping including file maintenance, and retrieval and storage of management data from computer. Maintain updated, comprehensive records of Program Director/Senior Vice President activities and office procedures.
    • Take, transcribe and distribute meeting minutes and agendas.

    Qualifications

    • Minimum of 3 years of experience providing administrative support in a fast-paced environment.
    • Must be proficient in Microsoft Office.
    • Must have excellent verbal communication and business writing skills.
    • Must be able to interact with executives, and all levels of staff, in a highly professional manner.
    • Ability to effectively manage time to meet multiple, competing demands and priorities.
    • Must be have the ability to proactively anticipate the business needs of the Program Manager/Senior Vice President and take action accordingly.
    • Must have outstanding analytical and follow-up skills, as well as excellent attention to detail.
    • High School Diploma is required. Bachelor’s Degree preferred.
