  • Overview

    To provide comprehensive administrative support services to COO and back-up support to CEO. Completes some support for departments overseen by COO and staff reporting to COO. Completes high-level assignments involving research, analysis and review of material and services critical to agency operations.


    • Performs standard executive assistant tasks, including telephone calls and messages, mail, visitors, on-site meeting preparation, and acting as a liaison with staff and contacts.
    • Assists Executive VP by maintaining calendar, scheduling appointments, and advising Executive VP of appointments.
    • Creates slide presentations and other reports and materials for meetings and workshops.
    • Draft correspondence and other documents, including proofreading and copyediting.
    • Internet research, compiling / writing reports, serving as backup for the CEO & President's Executive Assistant.
    • Maintains files.
    • Makes arrangements for EVPs attending or presenting at conferences and meetings.
    • Takes, transcribes, and distributes meeting minutes and agendas.
    • Reviews and prepares check requests for executive approval.
    • Supervises a part-time auditor reviewing program billing.
    • Performs other duties as assigned.


    • Bachelor’s Degree required, preferably in business or other related field.
    • Five years of administrative experience.
    • Advanced computer knowledge in Microsoft Office.
    • Excellent organizational and analytical skills, and strong attention to detail.
    • Strong verbal and written communication skills with the ability to interpret work to others.
    • Strong relationship-building skills.
    • Thinks proactively and is able to anticipate needs of others.
